Privacy Policy
Effective date: September 1, 2026 · Last updated: September 1, 2026
This policy explains what information Gridline Water Systems collects, why we collect it, who we share it with, and what choices you have. We've written it in plain language, because a privacy policy nobody can read isn't much of a policy.

1. Who we are
Gridline Water Systems ("Gridline," "we," "us," "our") is a residential and commercial water-treatment company serving Greater Philadelphia, including Bucks, Montgomery, Delaware and Philadelphia Counties. We can be reached at (215) 798-0135 or service@gridlinewatersystems.com.
We are responsible for the personal information described in this policy.
2. What this policy covers
This policy applies to information we collect:
- Through our website at gridlinewatersystems.com, including our consultation request form
- When you call, text or email us
- When we visit your property to evaluate water, install equipment or perform service
It doesn't apply to third-party websites we link to, or to your interactions with Google when you view or leave a review on our Google Business Profile. Those are governed by their own policies.
3. Information you give us
Through our consultation form
Our consultation request form collects the following, all of which you enter yourself:
- First name and last name
- Phone number
- Email address
- Property address
- Your water source, such as private well or municipal supply
- Your water concern
- The type of system you're interested in, if you know
- Your installation timeline
You choose what to tell us. If you'd rather not fill in a form, you can simply call us instead.
When you contact us directly
If you call, text or email us, we receive your phone number or email address along with whatever you tell us about your water, your property and your enquiry.
During a consultation, installation or service visit
To do the work, we record information about your property and your water — your water source, test results, plumbing configuration, the equipment installed, system settings, and the dates and details of any service performed. We keep this as part of your service record so that future maintenance and troubleshooting are based on what's actually there rather than guesswork.
We may also photograph installed equipment for our own records. We do not publish photographs of a customer's property on our website or anywhere else without asking you first.
Payment
Payment for our services is handled at the time of service. Where you pay by card, the payment is processed by a third-party payment provider, and we do not retain your complete card details on our own systems.
4. Information collected automatically
Like most websites, ours collects limited technical information when you visit. This may include:
- Your IP address and general location, such as region or city
- Your browser type, device type and operating system
- The pages you view, how long you stay and how you arrived at our site
- The website or search engine that referred you
We use this to understand how the site is used and to improve it. We don't use it to try to identify you personally.
5. How we use your information
We use the information described above to:
- Respond to your enquiry and arrange a water consultation
- Evaluate your water and prepare a treatment recommendation
- Provide a quote and schedule installation
- Perform maintenance, warranty and service work, and keep an accurate service history for equipment we've installed
- Communicate with you about your enquiry, your appointment or your system
- Send service reminders relating to equipment we've installed for you
- Operate, maintain, secure and improve our website
- Keep business records and meet our legal, tax and accounting obligations
- Send you marketing communications where you've agreed to receive them
- Resolve disputes and enforce our agreements
We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.
6. Who we share information with
We share your information only where it's needed to deliver our services, or where we're required to:
- Service providers. Companies that provide technology and business services to us, described in section 7. They may only use your information to perform services for us.
- Professional advisors. Our accountant, insurer or legal counsel, where reasonably necessary.
- Legal requirements. Where we're required to disclose information by law, court order or a valid request from a public authority, or where disclosure is necessary to protect our rights or the safety of others.
- Business transfer. If Gridline is ever sold, merged or reorganised, customer information may transfer as part of that transaction. Any recipient would remain bound by this policy or one that protects your information to at least the same standard.
7. Service providers we use
We use a small number of third-party services to run our business and our website. Each has its own privacy policy, and we'd encourage you to read those if you'd like more detail.
- HighLevel (LeadConnector) — hosts our consultation request form and provides the customer relationship management system where enquiries and customer records are stored. Information you submit through our form is transmitted to and stored by this platform on our behalf.
- Google Fonts — our website loads typefaces from Google's font service, which means your browser makes a request to Google's servers when you visit our site.
- Our website hosting provider — stores and serves the website itself.
- Our payment provider — processes card payments, as described in section 3.
- Google Analytics — see section 9.
8. Cookies and similar technologies
Cookies are small files stored on your device that help a website work and help its owner understand how it's being used.
Our website uses:
- Essential cookies, necessary for the site and the embedded consultation form to function.
- Analytics cookies, which help us understand which pages are visited and how visitors find us. See section 9.
Our consultation form is embedded from a third-party platform and may set its own cookies in order to work and to prevent spam submissions.
You can control or delete cookies through your browser settings. Most browsers let you refuse cookies entirely or alert you when one is being set. If you block essential cookies, parts of the site — including the consultation form — may not work as intended.
We do not use advertising, remarketing or behavioural tracking pixels on this website.
9. Analytics
We use Google Analytics to understand how visitors use our website — which pages are viewed, how people arrive, and which content is useful. Google Analytics uses cookies and collects information such as your IP address, device type and browsing activity on our site. We use this to improve the site. You can opt out of Google Analytics across all websites using Google's browser add-on.
We also record when someone submits our consultation form or clicks our phone number, so we can understand which parts of the site lead people to get in touch. This is recorded as an event and isn't used to identify individual visitors.
10. Calls, texts and email
How we'll contact you about your enquiry
When you submit our consultation form or contact us, you're asking us to get back to you. We'll use the phone number and email address you provide to respond, arrange a consultation, confirm appointments, and communicate with you about your enquiry, your project and — if we install equipment for you — your system and its servicing.
Marketing communications
We may also send you marketing communications by email and text message about our services, seasonal maintenance reminders, and occasional offers. We do this only where you've given us permission to, and you can withdraw that permission at any time.
Agreeing to receive marketing is never a condition of buying anything from us. You can decline it and still get exactly the same service, the same quote and the same attention.
Text messages
If you provide your mobile number, we may text you about your enquiry and your service. Where you've separately agreed to it, we may also send marketing texts. Message frequency varies. Message and data rates may apply.
Reply STOP to any message to opt out. Reply HELP for assistance. Opting out of texts won't affect the service we provide — we'll simply contact you another way. We do not share your mobile number or your text-message consent with third parties for their own marketing.
Every marketing email we send includes an unsubscribe link. Unsubscribing stops the marketing but won't stop essential messages about work we're doing or have done for you — appointment confirmations, service records and the like.
Your preferences
Tell us how you'd rather be reached and we'll note it on your record. Phone only, email only, no texts — whatever works for you.
11. How long we keep information
- Enquiries that don't become projects — kept for a reasonable period in case you come back to us, then deleted or stripped of details that identify you.
- Customer records — kept for as long as you have equipment we installed or serviced, and afterwards for as long as needed for warranty, legal, tax and accounting purposes. Service history matters here: knowing what was installed, how it was configured and what's been done since is what lets us service it properly years later.
- Website analytics — kept according to the retention settings of our analytics provider.
When we no longer need information, we delete it or remove the details that identify you.
12. How we protect information
We take reasonable steps to protect the information we hold, including limiting access to the people who need it and relying on established service providers with their own security practices.
No method of transmitting information over the internet or storing it electronically is completely secure. We can't guarantee absolute security, and we'd rather say that plainly than imply otherwise.
13. Your choices and rights
You can ask us to:
- Tell you what we hold. Request a copy of the personal information we have about you.
- Correct it. Ask us to fix anything inaccurate or incomplete.
- Delete it. Ask us to delete your information, subject to records we're required to keep for legal, tax or warranty reasons.
- Stop contacting you. Opt out of texts, or tell us how you'd prefer to be reached.
To make a request, contact us using the details in section 19. We may need to verify your identity first, and we'll respond within the time required by applicable law. We won't treat you differently for exercising any of these rights.
14. State privacy rights
Some states give residents specific rights over their personal information, including rights to know, access, correct, delete and opt out of certain uses. If you live in a state with such a law, those rights apply to you and you can exercise them by contacting us as described in section 19.
To be clear about two points that come up often: we do not sell personal information, and we do not share it for cross-context behavioural advertising.
15. Do Not Track
Some browsers offer a "Do Not Track" setting. There is currently no common industry standard for how websites should respond to it, and our site doesn't respond to Do Not Track signals. You can control tracking through your browser's cookie settings, as described in section 8.
16. Children's privacy
Our services are intended for adults, and our website isn't directed at children. We don't knowingly collect personal information from anyone under 13. If you believe a child has provided us information, contact us and we'll delete it.
17. Links to other websites
Our website links to third-party sites, including our Google Business Profile and, in some articles, external resources such as public health or environmental agencies. We don't control those sites and aren't responsible for their content or privacy practices. We'd encourage you to read the privacy policy of any site you visit.
18. Changes to this policy
We may update this policy from time to time — for example, if we change the services we use or the way we work. When we do, we'll update the "last updated" date at the top of this page. If a change is significant, we'll take reasonable steps to let affected customers know.
Continuing to use our website or our services after a change means you accept the updated policy.
19. How to contact us
